How long we keep your information

We keep information only as long as needed:

  • General enquiries (no case): up to 12 months

  • Active case files (notes, contact history): typically 24 months after case closure

  • Media/evidence files (audio/video/photos): typically up to 5 years, unless you ask us to delete sooner and we have no good reason to retain it

  • Consent records for publishing: kept as long as the related content is published, plus a reasonable admin period

If you want shorter retention for your case materials, tell us. We will be sensible about it.

Keeping your information secure

We use practical security measures appropriate for a volunteer organisation, including:

  • limiting access to case data to those who need it

  • password protection and controlled sharing for files

  • avoiding unnecessary copies of sensitive material

No system is perfect, but we take security seriously.
